Accessing the portal for the first time.
Open Sign in from the home page. Enter your invited email and the temporary password from the invite email. On first login you set a new password, then reach your workspace.
Ask your Vermillio administrator to send an invite to the correct email address. You cannot self-register without an invitation.
No. Your account is tied to the invited email. If you need to use another address, ask your administrator to invite that address.
You sign in with the password from your invite email. On first login you choose a new password. Credentials are checked securely on our server — you never leave the Vermillio portal.
Click Sign out in the header when you are signed in. You can sign back in any time from the home page.
SFTP bulk ingest (recommended), manual upload, and what lands in your folder.
Upload is for adding files: browser drag-and-drop (multiple files at once) and SFTP connection details. Uploaded files lists everything already in your workspace — browser and SFTP — with a Source column so you can tell them apart.
Sign in and open Upload in the sidebar. The SFTP tab shows your endpoint and username, plus SSH key or SFTP password setup.
Either one works — pick SSH key (recommended) or SFTP password. You only need one to connect. The SFTP password is separate from your portal login password. You can add the other method later from Upload if you want both.
Open Upload → SFTP and choose Option A (SSH key). Click Generate SFTP key, download vermillio-sftp.pem once, and keep it safe — we never store your private key.
Open Upload → SFTP and choose Option B (SFTP password). Click Set SFTP password and save the password we show once into your MFT client. This is not your portal login password.
On Upload → SFTP: set up either an SSH key (download vermillio-sftp.pem, chmod 600) or an SFTP password. Connect with sftp -i ~/Downloads/vermillio-sftp.pem your-username@your-endpoint for key auth, or sftp your-username@your-endpoint for password auth (values are on the same page). At the sftp> prompt use put or mput, then ls and bye. GUI users can use WinSCP or FileZilla with the same endpoint, username, and key or password. Open Uploaded files and click Refresh when the transfer finishes — uploading does not start processing.
Yes. Select or drop multiple audio files at once on the Upload page. Each file can be up to 512 MB.
Yes. Each customer has a dedicated folder in storage. You can only see and upload to your own path — not other customers' files.
Audio only: WAV, MP3, FLAC, AIFF, M4A, OGG, AAC, OPUS, WMA, and WebM. Archives, documents, and other file types are not supported.
Open Uploaded files and click Refresh. SFTP files show Source = SFTP. Wait until your client reports the transfer complete (check with ls in Terminal or the remote file list in WinSCP). Large batches may take a few minutes.
Open Upload → SFTP. Use Rotate SFTP key to download a new vermillio-sftp.pem (old key stops working), or Rotate SFTP password for a new password (old password stops working).
Yes. On Uploaded files, delete files you no longer need before starting the pipeline.
Starting the pipeline and viewing output.
No. Uploading only stages files in your folder. You choose when to run the pipeline by selecting files and clicking Process selected.
Yes. On Uploaded files (or your browser upload list), use checkboxes to select only the audio files you want, then click Process selected.
You are taken to a batch progress page for that run. Refresh there to see files move from Queued to Succeeded or Failed.
When jobs are queued or running, Pipeline & results shows a View processing link. Open that page and click Refresh to see updated status.
Open Pipeline & results in the sidebar. The Completed results section lists every successfully processed file with a View action. You can also open output from the batch progress page right after processing.
Open Pipeline & results, scroll to Completed results, and click View — or use View text on the batch progress page after you start a run.
Open Error logs from the sidebar or workflow tabs. Each row shows the file, status, and full error message. You can also open Error logs from the batch progress page when failures occur.
Queued — waiting to start. Processing — currently in the pipeline. Succeeded — finished successfully. Failed / Errored — something went wrong; open Error logs for details. In-flight jobs also appear under Processing now on Pipeline & results.
It depends on file count, size, and pipeline load. Use Refresh on the batch progress page to see live status. There is no fixed time guarantee.
Open Pipeline & results: Processing now shows in-flight jobs; Completed results lists finished work. For failures, open Error logs. You can re-process files from Uploaded files if needed.
When something does not work as expected.
Check that you are using vermillio-sftp.pem, the correct username, and endpoint from Upload. If you lost your key, rotate it on Upload. Contact Vermillio if the details look correct but connection still fails.
Confirm you are using the invited email. Try a private browser window. If it persists, your administrator may need to reset your account or resend the invite.
Open Error logs, note the file name and error message, then contact your Vermillio account contact with those details.
Open Uploaded files and click Refresh. Uploads may still be in progress in your SFTP client — confirm they completed before refreshing.
On the sign-in page, click Forgot password. Enter your invited email and we will send a verification code. Enter the code with your new password to reset, then sign in again.
Reach out to your Vermillio account contact or onboarding email. Include the email you sign in with, file names, and a short description of what you tried.
